10+ Microsoft Teams tips for Mac users

 Create a message

Another way to make a message stand out is to turn it into a message. Tap the Format icon and select Message from the New Conversation drop-down menu. You can enter a title and add a colored wallpaper or background to make the notification stand out.


Label the team to save time

The team manager can allow team members to assign specific tags to other members. So you can have a team of 100 people with five managers, each of whom can be tagged @manager. or you can have 24 people working in two separate shifts (@dayshift, @nightshift). Once tagged, you - and everyone on your team - can use the tag to send a message or channel post to everyone in the group.


Use titles, for them

When something is going on, it's easy to miss important conversations at sea over chat. Channels often carry thousands of calls. So it's a good idea to take the time to make it easier to find each chat by giving it a specific name: Project X, Company Agility, Remote Work Strategy, or a well-deserved raise. Headlines not only make it easier to find conversations, they are also searchable.

Select the chat you want to rename / rename from the list.

Select the pencil icon and enter a new nickname.

Close this chat

Arrange it by tapping the ellipse next to your top channel name and selecting Attach. These channels will now appear in the pinned area at the top of your list, not in the default section where they appear (based on when you added or created them).


Fixed channels can also be mixed. Click and hold on the channel name in the list and drag through this section until it appears where you want it. (You can also hide smaller channels by tapping the ellipse and selecting Hide.)

Email forwarding to the team

Teams works well with email and has tools that allow each email to be routed to the team channel. Open Teams, tap the ellipse to the right of the channel name and select Get Email Address. This will create an email address for that channel that you can use to forward items to that channel. It's as easy as using the Team Share button in Outlook or creating a Zapier shortcut in Gmail. However, you can automate it with Mail.


If you use Apple Mail, you can create rules to automatically send conversations to your team chats: go to Email Settings> Rules, add a rule, and give it a name. You can set up rules with several requirements. If the incoming message is from a specific person and also includes a specific subject line or a combination of other requirements, the message is automatically forwarded to your team chat. Or just set this chat as a contact and forward the email manually. This will be very useful if you want to tell your whole team.


Add external partners to your team

COVID-19 has proven how important it is to work with others: employees, external employees, suppliers, partners, logistics and customers - all of them have something to offer. So it makes sense to invite them to join you on the team. You can grant access to any guest (internal or external), allowing you to include them in specific project chats and tag them on the appropriate channel to make sure everyone is always up-to-date.


Record team meetings and conversations

With Microsoft, business users can use Microsoft Stream to record team meetings and group chats in the cloud. This is useful for important conversations or lengthy presentations, although there are some requirements and limitations as outlined here.
